Before paying a catering deposit, make sure the quote and your expectations describe the same event. Use these questions as a discussion guide and record the answers that matter to your booking.

What food and service are included?

  • Which dishes, drinks or accompaniments are included?
  • What portion or quantity is planned for the agreed guest estimate?
  • Is the service buffet, plated, packaged or another arrangement?
  • Are tastings available, and is there a charge?

Who provides staff and equipment?

Ask whether the quote includes cooks, servers, serving dishes, tables, linen, transport, setup and cleanup. Confirm what the venue supplies so the same item is not omitted or paid for twice.

How are dietary requirements handled?

Share known allergies and dietary requirements early. Ask how special meals will be identified and served without making assumptions about what the caterer can provide.

What are the payment and change terms?

Confirm the deposit, balance date, accepted payment method, cancellation terms and how a guest-count or menu change affects the quote. Ask for receipts and written confirmation.
