Start with the event basics
Write down the date, location, event type and working guest count. These details affect venue capacity, catering quantities, rentals, transport and staffing.
Group the expected costs
Useful groups may include venue, food and drinks, photography and video, decor, clothing, beauty, entertainment, rentals, transport, printing, accommodation and contingency. Remove categories your event does not need.
Separate estimates from confirmed quotes
Label every amount as an estimate, provider quote, deposit paid or balance due. Add the date of each quote because availability and costs can change.
Compare scope, not only the total
Two quotes can have different deliverables. Check hours, quantities, transport, staffing, setup, taxes and items excluded before deciding that one option costs less.
Keep a contingency
Unexpected changes can happen. Choose a contingency amount that fits your event and keep it separate from money already committed to providers.
